Microsoft Word is a word processor par excellence, which in turn has multiple tools that are useful for those who transcribe. A clear example is a macro, which is nothing more than a shortcut to perform a specific action within the program.
This quick access can be created, modified and manipulated in each of the documents of the person who enables it, thus facilitating a specific function.
Mainly it is an established setting for those who want to use the program from a professional point of view. Through it, you can save a certain time in making a series of adjustments that are constantly applied when creating a document.
What is a macro?
Although we have already discussed what this function of the Office package is about, it can be defined as a set of commands or instructions, which are grouped to automatically complete a specific task.
It works through a simple methodology where both the defined command and each of the steps necessary to complete the task are recorded. In this way, each time the Word program is instructed, it will repeat each of these actions defined by you.
Methods for creating a macro
Depending on the version that is being used to execute the transcription of a document, the tab of the toolbar will depend on where the option to “Record macro” is found.
After pressing this button, a small window will appear on the screen where you can assign a name and configure it to be enabled in all documents.
This window will also allow you to define if the macro will be executed based on a button that will be displayed on the bar, or through a keyboard command.
A configuration window will open again, adding a button to the program in the shortcut bar, from where you can execute the command.
Within this space of settings you will be able to define the name of the macro again, accompanied by two columns that are separated from each other by “Add” and “Remove” buttons.
By adding the newly created command, you will be able to modify the icon with which it will be identified within the program. When you’re done, Word will automatically start recording all of your actions, taking them as steps to complete the task you want to determine.
Likewise, at the end, go back to the “Macros” section to click on “Stop recording” and thus save the settings.
Selecting the keyboard option
As with the previous option, a new window will open where you must click on the “New shortcut” button.
Within this section, you can configure the key combination based on which the command will be executed. Ensuring in turn that none of these are assigned to another function or task within the program.
After assigning it, you will be able to perform the sequence of actions that the macro itself will execute to complete the task. So that an automatic engraving of all of them is carried out.
When finished, repeat the procedure of accessing “Stop recording” again to give an end to the configuration, and have finished creating the command.
How to run these commands?
Depending on the way you have configured it, it will depend on the series of steps that you will have to carry out to execute the task each time you want within the program.
In case of those who have opted for the keyboard, they only need to press the combination of keys so that the task is automatically performed.
If you selected the button, you just have to look for the icon inside the shortcut bar and wait to see the result. Clearly, this is a very useful option for those who want to save a little time in a professional way.
This simple method will help you avoid repeating settings that you use constantly. Well, by means of this shortcut you can make sure that you will achieve it in record time.
